Cost & Financial Considerations

  • Should I buy or lease a copier?

    Leasing is usually best for minimizing upfront costs and upgrading technology every 3–5 years. Purchasing is better for long-term ownership if you have capital and want to avoid interest.

  • What is an FMV lease vs. a $1 Buyout Lease?

    A Fair Market Value (FMV) lease allows you to purchase the machine at its current value at the end of the term, whereas a $1 buyout lease allows you to own it for just $1 at the end, typically with higher monthly payments.

  • What is included in the monthly lease?

    Ideally, it includes the machine, maintenance, toner, and service. It is vital to ask if shipping, installation, and training are included to avoid hidden costs. 

Capacity & Machine Capability

  • How many pages do we print per month?

    This determines if you need a desktop unit or a high-volume production machine.

  • What is our ratio of color to black-and-white printing?

    High color usage leads to higher expenses, so this helps determine if a cheaper, lower-volume color machine or a faster unit is required.

  • Do we need advanced scanning features?

    Many need high-speed duplex scanning that goes directly to email or network folders (SMB). 

Service & Support

  • What is the service response time?

    Top providers often have a service response time of 3 hours or less, which is critical for reducing operational downtime.

  • Do you offer local, in-house support?

    It is preferred to have local technicians rather than outsourced, third-party repair services.

  • Is toner automatically reordered?

    Many modern contracts include automated supplies management (e.g., MPS - Managed Print Services).

  • How secure is the machine from hackers?

    Modern MFPs (Multifunction Printers) are network devices. Ask for built-in security like user authentication, data encryption, and hard drive wiping.

  • Can the machine be easily integrated into our existing network?

    Ensure it supports scanning to email, cloud storage integration, and mobile printing. 

Logistics & Space

  • Does the machine fit in our office space?

    Copiers often require 15–20 square feet for operation, including clearance for doors, paper drawers, and service.
